Define the operating requirement
State the equipment category, make or acceptable equivalent, model, capacity, duty, operating environment and required certifications. Include the project location, mobilisation date and expected duration. For marine assets, add class, flag, dimensions, draft, deck capacity and operational limitations where relevant.
Choose sale or lease clearly
A purchase requirement should include budget range, preferred age, acceptable condition and inspection expectations. A lease requirement should state duration, mobilisation and demobilisation responsibilities, crew requirements, maintenance allocation, insurance and proposed charter or rental basis. Leaving these questions unanswered produces unsuitable offers.
Confirm ownership and authority
Before sharing sensitive technical or commercial information, establish who owns the equipment and who is authorised to offer it. Request documents appropriate to the asset and jurisdiction, then verify them independently. If an intermediary is involved, understand the mandate chain and who can make binding decisions.
Review condition and documentation
Photographs are useful but not conclusive. Technical records, maintenance history, inspection reports, certification status, operating hours and location should be reviewed by competent specialists. Buyers and lessees should define whether inspection is visual, functional, class-based or supported by an independent surveyor.
Plan logistics before agreement
Heavy equipment can appear commercially attractive until transport, permits, customs, lifting, storage and mobilisation costs are calculated. Confirm the current location, access conditions, packaging or dismantling requirements, route limitations and responsibility for each cost.
Use a disciplined enquiry process
A concise requirement pack allows the sourcing network to work efficiently. Include company details, the authorised contact, specification, location, timeline, commercial basis and evidence of readiness. This protects both the requester and legitimate owners from wasted time.
